Safer recruitment records, without the folder hunt

"Fit and proper persons employed" is the regulation. In practice it's a question an inspector asks on a Tuesday: show me this carer's DBS, right-to-work and references. The homes that answer in seconds are the ones tracking these like they track training.

The three records that get requested

Per staff member, at a glance

None of this is exotic. The failure mode is never "we didn't do the check" — it's "the check is in a folder somewhere, the folder is in the office, and the person who knows which office is on holiday."

The expiry question nobody owns

A DBS certificate is a snapshot at its date of issue — it has no statutory expiry. That's precisely why it drifts: with no hard deadline, renewal becomes a policy question, and policy dates are the first thing a busy home loses track of. If your policy says checks are refreshed on a cycle, then that cycle needs the same red/green expiry treatment as fire training: flagged well before it lapses, not discovered after.

Sensitive by default

Recruitment records are among the most sensitive documents a home holds. They shouldn't sit in a shared drive with the rota. The standard to hold yourself to: stored securely, visible to managers only, and produced in seconds when someone with a legitimate reason asks.

The one-screen answer

Warden tracks DBS, right-to-work and reference status per staff member with the same red/green expiry tracking as the training matrix — a renewal gets flagged before it lapses, and documents stay manager-only. When the question comes, the answer is one screen, not one afternoon.

Recruitment records that answer in seconds

DBS, right-to-work and references — tracked to expiry alongside policies, training and DoLS. £99 per home per month, no setup fee.

Common questions

What should we keep per staff member?

DBS status and date, right-to-work verification, references on file — each with a status, a review date where your policy sets one, and secure manager-only storage.

Do DBS checks expire?

Not in law — a certificate is a snapshot at issue. But most providers set a renewal cycle as policy, and that policy date is what your register should alert on.

Who can see these records in Warden?

Managers only. Staff see their notices and training; recruitment documents stay in the manager view.
